In order for VBS to work on our clients needs, we request some basic information:

  • Preferred date and location of your meeting/event

  • How many delegates/guests are  attending

  • Accommodation requirements (if applicable)

  • Purpose and objectives of the meeting

  • Meeting room layout and any additional requirements

  • Budget and decision making process

We work with our suppliers to check availability and rates, space can be held on a provisional basis and site visits scheduled where required.

Additional elements to our services include:

  •  Rate negotiation

  •  Upgrades and adding value

  •  Minimum numbers review

  •  Cancellation terms review

  •  Event services support or recommendations

We do not charge our clients a fee for our services.  As a Hotel Booking Agent our suppliers meet with us, host familiarisation visits and attend industry events with the objective to confirm our clients meetings/events at their venues.  Once our clients invoice has been settled, we then invoice the supplier our venue finding fee.
